Phone number

Your AI receptionist answers calls made to a dedicated phone number assigned to your shop. If you have not ordered a number yet, click Order phone number. You can optionally enter a preferred area code — if a number with that area code is available it will be assigned, otherwise a nearby number is chosen automatically.

Phone numbers are permanent

Once a number is assigned to your business it cannot be changed. Choose your area code carefully before ordering.

If call logs are missing duration or transcript data, click Sync webhooks under the phone number display. This refreshes the connection between your number and FrontDesk without changing the number itself.

AI receptionist

This section appears after a phone number is assigned. It controls how your AI agent presents itself and what it knows.

  • Agent name — the name callers hear when the agent answers. For example, Alex or Sarah. Keep it short and natural.
  • Agent voice — the text-to-speech voice the agent speaks in. Several voices are available; listen to a few and pick the one that best matches your brand's tone.
  • Company description — a free-text field that acts as the agent's knowledge base. Write everything the agent should know: your services, pricing, working hours, address, parking information, cancellation policy — anything a caller might ask. The more detail you provide, the better the agent performs.
Generate an example description

Click Generate example to auto-fill the description field based on your shop name, address, services, and hours. Use it as a starting point and edit to match your tone.

Services

Services are the bookable offerings your shop provides. Both the AI receptionist and the online booking page use this list.

  • Name — displayed to customers, e.g. Oil Change or 60-min Massage.
  • Duration (mins) — the actual service time shown to customers on the booking page and mini-site.
  • Buffer time (mins) — hidden gap added after the service for cleanup, preparation, or rest. Customers never see this; it simply blocks the next slot from being offered too early.
  • Price ($) — shown on the mini-site and booking page. Enter 0 for free or leave blank.

Click + Add to add a new row. Click the X on any row to remove a service. Click Save services when finished — changes are not saved automatically.

Example — massage studio with 15-minute turnover

A therapist needs 15 minutes between sessions for cleanup and preparation. Set Buffer time to 15 on each service — customers still see the advertised duration, and the AI receptionist will never offer a slot that overlaps the gap:

  • 60-min Massage: Duration 60, Buffer 15
  • 90-min Massage: Duration 90, Buffer 15
  • 30-min Express: Duration 30, Buffer 15

Weekly availability

Set the days and hours your shop is open. Each day has an open/close time and an Open checkbox. Uncheck a day to mark it as closed.

These hours are used by the AI agent to tell callers when appointments are available, and they are displayed on your mini-site's Hours section. Click Save hours to apply changes.

Shop info

  • Shop name — your business name as shown on the mini-site and in the portal.
  • Address — your street address. Click Validate to confirm it can be found on a map. A validated address unlocks the Show map on mini-site option.
  • Business type — used to tailor the mini-site copy and the AI agent's default language. Choose the option closest to your business.
  • Timezone — all appointment times are stored and displayed in this timezone. Set it to match your business's location.
Notification phone number

The phone number used for SMS notifications is managed separately in your Profile, not here in Shop Settings.

Notifications

Two notification options are available:

  • Email me when an appointment is booked — sends an email to your account address whenever an appointment is created, whether by the AI agent or through online booking. Enabled by default.
  • Text me when appointments are booked or cancelled — sends an SMS to your verified profile phone number. Requires both a verified phone number in your profile and an assigned receptionist number for the shop.

Click Save at the bottom of the Shop Info card to apply notification preference changes.

Google Calendar

On supported plans, a Google Calendar tab appears in Business Settings in the app. There you can connect your Google account, choose which calendar FrontDesk should use, and optionally show Google-only events on your FrontDesk calendar. For a full walkthrough, see the Google Calendar guide.
